Conference Booking & Cancellation Policy

This policy governs registration for conferences and events organised or hosted by ThesisPublisher.my.

1. Making a booking

Register through the event's registration page. You will be asked to choose a participation category — for example listener, poster presentation, or oral presentation — and to supply delegate details. Presenting categories also require an abstract.

A booking is provisional until the registration fee has been paid in full.

2. Fees

Fees vary by participation category and, where offered, by society membership and early-bird period. The applicable fee is calculated and displayed before you submit, and is fixed at the moment your registration is created — a later price change does not alter what you owe.

3. Confirmation

Payment confirms your place and you will receive an email confirmation. Where online payment is unavailable, bank-transfer instructions are provided; your place is held as unpaid until the transfer is received and reconciled.

4. Abstract review

Submitting an abstract does not guarantee acceptance. Abstracts are reviewed by the scientific committee and you will be notified of the outcome. If your abstract is rejected, you may either transfer to a listener registration and receive the difference in fee, or cancel for a full refund.

5. Capacity

Some categories have limited places and close automatically when full. Places are allocated in order of completed registration.

6. Cancellation by the delegate

Cancellations must be sent in writing to support@thesispublisher.my. Refunds are processed after the event, within 30 days.

7. Substitution

You may transfer your registration to a colleague at no charge up to 14 days before the event. Email us the replacement delegate's details. Where the registration includes a presentation, the substitute must be a listed co-author.

8. Cancellation or postponement by the organisers

If we cancel an event, registration fees are refunded in full. If an event is postponed or moved online, your registration transfers automatically to the new date or format; if that does not suit you, you may cancel for a full refund.

We are not liable for travel, accommodation or visa costs. Please obtain travel insurance and do not make non-refundable arrangements before your registration and, where relevant, your abstract are confirmed.

9. Visa letters

An invitation letter for visa purposes is available on request once registration is paid and, for presenting delegates, the abstract is accepted. An invitation letter is not a guarantee that a visa will be granted, and visa refusal is treated as a delegate cancellation under section 6.

10. Conduct

Delegates are expected to behave professionally and respectfully. We may remove any delegate whose conduct is harassing or disruptive, without refund.
